 1. Templates- reworded to “Workflow templates” across the system

 2. Workflow template selection on order creation- changed color of buttons

 3. Storage servers- added the option to disable the mail delivery of files that have been uploaded to this storage server

From: Administrator > Web administrator > Storage servers > Files can be sent by mail column

When not marked, users will not be able to mail files that have been uploaded to this storage server. The “Mail file” button will be disabled (fig 2) and when clicking it, the following alert will be displayed (fig 3):

 4. “Today” scheduler pages- completed tasks can now also be displayed in the calendar grids

In all scheduler pages, completed tasks are not displayed. Once the task is completed it is cleared from the scheduler grid.

In “Today” scheduler pages only, added a button to also display completed tasks.

From: Supervisor > Schedule > Today scheduler manipulation + Today scheduler assigning pages > Display also completed tasks button (fig 3).

Once clicked, completed tasks will be displayed in both “Day” and “Timeline” tabs (fig 4).

Completed tasks will have a black background and the frame will be colored differently per each assigned resource.

In addition, added system configuration to have the “Display also completed tasks” enabled by default when navigating to this page. Users will still be able to disable, but this would be the default when navigating to the page.

From: Administrator > Web administrator > Configuration > Settings > Scheduling preferences section > “Today” scheduler pages- display also Completed tasks” switch (fig 5):

 5. All scheduler pages- added configuration to disable the Resource’s availability popup in the grid

From: Administrator > Web administrator > Configuration > Settings > Display availability tool tip in scheduling pages:

The Resource availability pop up will be displayed in all selected pages:

For example, “Tasks by Resource scheduler” page.

The Resource availability pop up (fig 3) is displayed when hovering over the availability in the grid.

Note: the availability popup will be displayed anyway, regardless to this configuration, when hovering over the column headers (fig 4):

 6. Added role to enable users to download files without having to mark messages as read

Role name: Messages don’t have to be marked as read to download file

Users with the role will not have to mark messages as read to download files.

 7. Add role to enable seeing Product and Task messages in the order, regardless to assignment

Role name: Display all messages regardless to assignment

The role will enable users to see all messages in the order, including Task and Product messages that they are not assigned to and would normally only be visible to assigned users and to the message creator.

 8. Update of the Task internal supply date when changing the Task supply date- introducing new sync logic

Note: relevant only in systems in which the Task internal supply date is enabled.

The sync logic will determine how will the Task internal supply date be influenced when changing the Task supply date, or when changing any other date that the Task supply date is linked to.

Before changing the Task supply date, or any other date linked to the Task supply date, the user can select 1 of 2 options:

  1. Always sync- when the Task supply date is changed, the Task internal supply date will always follow

  1. Smart sync (checks if assigned)

Option #1- Always follow:

When setting the Task supply date to an earlier or later date, the Task internal supply date will:

Always follow (regardless if the task is assigned or not)

Option #2- Smart sync:

Backward:

When setting the Task supply date to an earlier date which is prior to the Task internal supply date, the Task internal supply date will:

·         Always follow (regardless if the task is assigned or not)

When setting the Task supply date to an earlier date which is till later than the Task internal supply date, the Task internal supply date will:

·         Follow if the task is not assigned

·         Not follow if the task is assigned

Forward:

When setting the Task supply date to a later date, the Task internal supply date will:

·         Follow if the task is not assigned

·         Not follow if the task is assigned

How to use:

The new 2 sync options are represented by 2 buttons that were added in most pages that display dates.

Before changing the Task supply date, or any other date linked to the Task supply date (Order supply date, Order internal supply date or Step date), select the necessary sync option to receive the required result (each button has a tool tip to explain its functionality):

System configuration also added to determine which of the 2 options will be the default sync method when navigating to any page.

From: Administrator > Web administrator > Configuration > Settings > System preferences section > Task supply and Task internal supply dates sync method button:

In addition, please note that the connection button will no longer turn red when Task internal date is disconnected from the Task supply date:

The connection button will currently only turn red when the Task supply date is disconnected from the “Set date by” date its linked to (either the Order supply date, Order internal supply date or Step date).

 9. File delivery- attachments size limit- added configuration

To prevent cases in which file delivery fails due to attachments exceeding the allowed file size for mails, a file size configuration was added.

When attempting to send files with attachments exceeding this file size (from any page), the system will suggest sending the attachments as links instead of attachments.

Configured from: Administrator > Web administrator > Configuration > Smtp > File delivery- attachments size limit (MB) field:

When attempting to mail a file as a mail attachment (fig 2) and the file is larger than the specified file size limit, the system will suggest mailing the file as a link instead (fig 3):

Once clicking Yes, the “Send file” popup will be opened in which you can add the recipient (fig 4) and send the file as link.

To change the default link delivery parameters, click “Link setup” (fig 5), to open the “Link setup” pop up so you can change the defaults (fig 6):

Note: in systems that are not set up on AWS, the recipient will have to use Ooona’s agent do download the file from the link (the Agent download dialogue box will be prompt to the recipient when he will attempt to download the file from the link).

 10. The separator’s type in fields containing multiple values can be now customized.

The selected separator will separate multiple values in the same cell when exporting the page to Excel.

From: Administrator > Wed administrator > Configuration > Defaults > Export defaults section > Export data separator field (fig 5):

 11. Email assignment notification button- added indication that the task is assigned and that an assignment notification was sent

From: Order’s tasks list and Sales dashboard > Tasks tab

The in line “Email” icon will change appearance according to the task’s status:

  • Task not assigned

  • Task assigned

  • Task assigned and assignment notification was sent
