Entering the Resource availability

Resources can enter their availability to let managers know if and when they are available or not.

Entering availability by a resource requires a role: “Can enter Resource availability” (previously “Employee availability”).
Users with this role can enter their availability from My menu > Resource availability:

The availability is entered per month.

There are 3 availability options. Several availabilities can be entered for the same day:

  • Available

  • Not available

  • Optional

How to enter availability

from My menu > Resource availability:

  1. Set the “Starting at” (fig 1) and “Until” (fig 2) times
    You can adjust the “Until” time with the “Work hours” field (fig 3)

  2. Select the required availability option: Available/Not available/Optional (fig 4)

  3. Add a remark (fig 5) for the availability (optional)

  4. Click the required day. The availability you set will be applied to this day (fig 5)

  5. When hovering over the day, a tooltip will show the full info (fig 6)

Entering multiple availabilities for the same day

from My menu > Resource availability:

  1. Set the “Starting at” (fig 1) and “Until” (fig 2) times
    You can adjust the “Until” time with the “Work hours” field (fig 3)

  2. Select the required availability option: Available/Not available/Optional (fig 4)

  3. Add a remark (fig 5) for the availability (optional)

  4. Click the required day. The availability you set will be applied to this day (fig 5)

  5. When hovering over the day, a tooltip will show the full info (fig 6)

  6. Repeat steps 1-4 for any additional availability slots you require for the same day.

  7. When hovering over the day, a tooltip will show the full info

Bulk entering availability

Multiple rows, columns, or even the entire month, can be easily entered using the “Apply to” (little squares) icons displayed on every row, column and on the corner of the page.

from My menu > Resource availability:

  1. Set the “Starting at” (fig 1) and “Until” (fig 2) times
    You can adjust the “Until” time with the “Work hours” field (fig 3)

  2. Select the required availability option: Available/Not available/Optional (fig 4)

  3. Add a remark (fig 5) for the availability (optional)

  4. To apply the selected availability to all checked columns of current month - Click the icon on the corner of the page (fig 1)

  5. To apply the selected availability to all checked dates in a row of current month - Click the icon to the left of the relevant row (fig 2)

  6. To apply availability to a column - Click the icon above the required column (fig 3)

Clearing the availability

To clear the availability for the day:

  1. Select the “Clear availability” icon (fig 1)

  2. Click on the day to clear

  3. When hovering over the day, a tooltip will show the availability is clear

     

Managers

Viewing Resources availability

Once resources enter their availability, it can be viewed from several pages.

Sales dashboard > Task page

From: Sales dashboard > Task page

  1. Once a resource is assigned to a task, hover over the “Resources availability” check box to display the Resources availability.
    The system will indicate whether the resource is

  • Available

  • Not available

  • No availability information for this time

My menu > Resource availability

Managers have the option to view and set resource availability for all resources as well as their own.

To set availability follow the steps described above: “How to enter availability”

To view or set the availability for a resource:

From My menu > Resource availability

  1. Select the relevant resource from the “Resource” list at the bottom of the page

  2. The resources availability will be displayed on the page, allowing you to view, make changes or add entries
