Overview

For security reasons, OOONA enables limiting file download capabilities in 2 ways.makes it possible to limit file downloads in two ways:

  1. File type level download limitation

  2. Time limitation-based limitations (in days)

limit the download of a specific file type:

  1. Navigate to Administrator > Tables > File tables > File types

  2. Click the Magnifying glass of the relevant file type

    1. To allow download - set the “Can be downloaded” switch to ON

    2. To disable download - set the “Can be downloaded” switch to OFF

Once done, all users will see the download icons of this file type greyed out and a notification informing them that file’s download is limited.

Bypassing this limitation

To allow a user to download file types set to not be downloadable, please give them the role Can download file types that are marked as cannot be downloaded in File types page.

Setting up time-based limitations

Limiting the number of days the file can be downloaded.

Limiting the number of days a file can be downloaded can be done on two levels:

  1. System level

  2. Resource level

It is also possible to limit how long users can download a file after it has been uploaded. This can be done on three levels, with only the lowest one being applied, if set:

  1. Resource

  2. File type

  3. System

  1. Navigate to Manager > Rolodex tables > Resources

  2. Click the Magnifying glass of the relevant resource

  3. Set the “File accessibility once uploaded (in Days)” field to the required value (fig 1)

  4. Click “Save & Close” “Save” (fig 2)

is set to 0, the system will consider it not set and check the next step in the hierarchy.

  1. Navigate to Administrator > Web administrator > Configuration > Security

  2. Set the “File accessibility once uploaded (in Days)” field to the required value

  3. Click “Save & Close”

Once done, the download icons of these files will appear greyed out and the user is informed of user of why the file cannot be downloaded.

Bypassing this limitation

To allow a user to download files older than the number of days set at a system level, please give them the role File accessibility not limited in time (Bypasses Security configuration).
