For security reasons, OOONA makes it possible to limit file downloads in two ways:
File type level download limitation
Time-based limitations (in days)
Setting up download limitations at a File type level
To limit the download of a specific file type:
Navigate to Administrator > Tables > File tables > File types
Click the Magnifying glass of the relevant file type
To allow download - set the “Can be downloaded” switch to ON
To disable download - set the “Can be downloaded” switch to OFF
Once done, all users will see the download icons of this file type greyed out and a notification informing them that file’s download is limited.
Bypassing this limitation
To allow a user to download file types set to not be downloadable, please give them the role Can download file types that are marked as cannot be downloaded.
Setting up time-based limitations
It is also possible to limit how long users can download a file after it has been uploaded. This can be done on two levels:
System level
Resource level
Setting up time-based limitation at a system level
Navigate to Administrator > Web administrator > Configuration > Security
Set the “File accessibility once uploaded (in Days)” field to the required value
Click “Save & Close”
Once done, the download icons of these files will appear greyed out and a tooltip informs the user of why the file cannot be downloaded.
Setting up time-based limitations at a Resource level
Navigate to Manager > Rolodex tables > Resources
Click the Magnifying glass of the relevant resource
Set the “File accessibility once uploaded (in Days)” field to the required value
Click “Save” (fig 2)
Please note: This field is inherited from the system. If filled out manually, the number specified here take precedent over the system setting.
Bypassing this limitation
To allow a user to download files older than the number of days set at a system level, please give them the role File accessibility not limited in time (Bypasses Security configuration).
