Upcoming functionality

This functionality is only available in the upcoming version (368.1)

Overview

Signatures can be added to email notifications that are sent out by the system.

These are html-based and can be generated using data already available in the system, so the content can be dynamic.

Adding signatures to emails

Signatures can be added to standard email messages from Administrator > Tables > Standard email messages > Edit (1), by using the “Merge text” dropdown menu (2).

Please note: only standard email messages with the “Signature” or “Resource in charge signature” merge text will include a signature, so it’s possible to choose which notifications should include it.

Two possible signatures can be added:

Signature - will add the signature of the resource who triggers the email

Resource in charge signature - will add the signature of the resource in charge of the order the email is related to

Creating signatures

Signatures can be created at either the system level, in which case they will apply to all resources, or at the resource level, in which case they will only apply to the specified resource.

The following data can be added to a signature:

Custom message - Available in the Email signature section. If populated at both system and resource level, the resource custom message will be applied

Job title - the resource’s Job title, as set in their resource info page

Resource name - the resource’s Display name, as set in their resource info page

Webpage - the webpage specified in Administrator > Web administrator > Configuration > Company info

Email logo - the system’s logo, as especified in Administrator > Web administrator > Configuration > Appearance, in the “Logo icon png” field.

Company phone - the phone number specified in Administrator > Web administrator > Configuration > Company info

Resource phone - the resource’s phone number, as set in their resource info page

Street - The company’s street name specified in Administrator > Web administrator > Configuration > Company info

Street number - the company’s street name specified in Administrator > Web administrator > Configuration > Company info

City - The company’s city, as set in Administrator > Web administrator > Configuration > Company info

Country - the company’s country, as set in Administrator > Web administrator > Configuration > Company info

Zip code - the company’s zip code, as set in Administrator > Web administrator > Configuration > Company info

If a field is not populated, the information will be omitted from the signature

 

Additionally, other formatting can be applied to the text, such as font size, italics, text color or hyperlinks, using the ribbon’s options:

System level

Signatures at the system level can be edited from Administrator > Web administrator > Configuration > Emails.

If edited at the system level, the signature will be applied to all emails with the “Signature” or “Resource in charge signature” merge text and to all resources, unless specified otherwise at the resource level.

Resource level

Signatures at the resource level can be edited from the resource’s profile, via My menu > Resource information.

By default, the signature will be set to be inherited from the system. By clicking on “Inherited” the system will toggle between the three available options:

Inherited - the signature created at the system level will be used

On - the signature created in this field will be used

Off - the signature will not be added to emails if this is the resource who would be added to it
