Make available

Overview

The Make available feature is an easy and quick way to upload a file to one or several orders at the same time without having to go through all the stages of uploading a file to specific tasks.

This feature is mainly used for files and orders of the same customer, but it can also be used with files and orders of different customers.

Required roles: Centralized file download; Centralized file download – Make available and Centralized file download – Make available for other customers

Making a file available

To make a file available in orders, it must have been uploaded to an order at least once using another upload method. Once the file has been uploaded to an order, it will be added to the My menu > Centralized file download page, which is where the “Make file available” column will be for users with the Centralized file download and the Centralized file download – Make available roles.

After the file is added to the Centralized file download page, it will be possible to make it available in other previously created orders.

For that, go to My menu > Centralized file download and click the “Make file available” icon next to the file you wish to make available in other orders.

Please note that, if the user has the Centralized file download – Make available for other customers role, the pop-up to select the orders in which to make the file available will show all orders from all customers in the system. If not, the list will only include orders from the same customer the original order was created for.

Click the “Make file available” icon next to the order or orders you want to add the file to.

After selecting the relevant orders, click the “Close” button.

In the following example, the file was added to two orders.

After making the file available to specific orders, if the file in question matches the file type required for a task, that task will become ready to be completed, however, please note that this method does not trigger task completion.

If the file does not match any of the file types required, it will be added to the Order files without being associated with a task.

In the Order files page, the “Upload method” for files made available is shown as “Make available”.

Uploading new versions of files made available

If a file was made available in multiple orders and a new version is uploaded, the file version will be updated in all orders it is connected to. A pop-up will specify which orders will be affected:
